Overview
We are seeking a proactive and detail-oriented Office Assistant to join our dynamic team. In this vital role, you will be the first point of contact for visitors and callers, ensuring smooth daily operations within our office environment. Your organizational skills and friendly demeanor will help maintain an efficient, welcoming workspace. Responsibilities
  • Assist with payroll tasks using QuickBooks and ADP
  • Greet visitors and clients warmly, managing front desk duties with professionalism and enthusiasm
  • Answer multi-line phone systems promptly, directing calls accurately and courteously
  • Manage calendar appointments, meetings, and scheduling using Microsoft Office tools
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Handle incoming and outgoing correspondence, including emails, mail, and packages
  • Support office management tasks such as supply inventory, equipment maintenance, and record keeping
Experience
  • Previous office experience or clerical experience demonstrating strong organizational skills
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook)
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Familiarity with administrative tasks such as data entry, filing, proofreading, and calendar management
  • Customer service experience with a focus on professional communication and support
  • Knowledge of payroll (QuickBooks and ADP preferred), personal assistant responsibilities or similar roles demonstrating multitasking ability
